AI receptionist for healthcare practices

An AI receptionist answers your practice phone when your team cannot: at lunch, during the check-in rush, after hours and at weekends. It books, reschedules and cancels appointments, answers common questions, takes new-patient details, and passes anything clinical or sensitive to a person. We set it up, script it, test it and run it for you.

What does an AI receptionist actually do on a call?

It greets the caller in your practice's name, works out why they are calling, and handles the routine requests your front desk handles dozens of times a day. Where your scheduling system allows it, it books straight into open slots. Where it does not, it takes a structured booking request and your team confirms it.

Every call ends with a written summary sent to your team, so nobody has to listen back to recordings.

  • New-patient bookings with intake questions you approve
  • Rescheduling and cancellations, with freed slots offered to a waitlist
  • Hours, location, parking, what to bring, accepted insurance
  • Routing urgent or clinical questions to a person, immediately

Which calls should it take, and which should it leave alone?

We start narrow. Most practices switch it on for overflow (when every line is busy) and after hours first. Your team keeps answering when they are free. Once you have read a few weeks of call summaries and trust the scripts, you decide whether to widen its role.

It never gives clinical advice, never interprets symptoms beyond the triage rules you sign off, and always offers a human option. If a caller asks for a person, they get one, or a callback promise with a time.

Why do missed calls matter so much?

A patient who cannot get through rarely leaves a voicemail and waits. In CallRail's 2025 research, 82% of callers said they would call a competitor if they could not get through (CallRail, 2025). For a new patient searching on their phone, the next practice in the results is one tap away.

Frequently asked questions

Will patients know they are talking to AI?

Yes. We recommend the assistant says so at the start of the call. Patients mostly care that someone answers and their problem gets solved, and they can always ask for a person.

Can it book directly into our practice-management system?

Where your system offers a booking API, yes. Where it does not, the assistant takes a structured booking request and your front desk confirms it, so nothing changes in your software.

What happens with urgent or clinical calls?

They are routed to a person using rules you approve, such as transferring to a staff line or giving emergency guidance. The assistant does not give clinical advice.

Does it replace our receptionist?

No. It takes the calls your team cannot get to, such as lunch, the check-in rush and after hours. Most clinics use it so their front desk can focus on the patients standing in front of them.

How long does setup take?

Most practices go live in a few weeks, depending on how many locations, providers and booking rules are involved [CONFIRM: typical setup timeline].

Is call audio stored?

Recording and retention are set per practice. In the US every vendor touching patient data is under a Business Associate Agreement, and we keep retention to what you need.
