Who we help / Home care agencies

Done-for-you call answering for home care agencies

Home care agencies lose new clients when families call evenings and weekends and reach voicemail. We set up and run an AI receptionist that answers those calls 24/7, takes the intake details your coordinators need, screens caregiver applicants and logs shift call-outs, then hands everything to your team in the morning. Anything about care plans, clinical needs or eligibility decisions goes to your staff.

The calls home care agencies miss

Home health agency calls do not stop when the office closes. Families may be planning a parent’s return from hospital, while caregivers and discharge planners need a different kind of response. We run a home care agency answering service around those distinct call types, not one generic voicemail script.

For an agency serving New York, that could mean collecting a borough and a managed long-term care plan name. In another state, we use your counties, service areas and payer categories instead. We confirm what you actually need before writing the scripts.

  • Families calling after work or on weekends about a parent coming home from hospital
  • Hospital and rehab discharge planners who need a quick yes or no on capacity; we capture the request and alert your coordinator rather than promise availability
  • Caregiver applicants calling about open jobs and asking for the next step
  • Caregivers calling out of a shift at night or early in the morning
  • Callers who prefer a language other than English

What we handle on each call

We agree separate scripts and handoff rules for home care intake after hours, caregiver applicant screening and existing-client calls. Routine summaries can wait for the morning; a shift call-out or urgent matter triggers the immediate alert or on-call transfer you approve.

Languages

We can set up answering in the languages your clients and caregivers use. We confirm which languages and test them during the audit, including the intake questions and handoffs your team needs. We do not promise a language before checking and testing it with you.

What we don't do

We do not make care-plan decisions, clinical assessments, Medicaid eligibility decisions or authorisation promises through the reception service. Those questions go to your nurses and coordinators. We collect the details they request without telling a family that care, coverage or a start date is approved.

Patients and families can always ask for a person. We agree transfers, urgent on-call routing and callback arrangements with your staff before launch. Your coordinators decide capacity and shift coverage, and your HR team decides whom to hire.

See our HIPAA and privacy commitments for the agreements, access and retention arrangements we review with you.

How it works for an agency

We set it up, we run it, we fix it. You approve the scripts and escalation rules rather than learn a new system. We work month-to-month after setup, and sign a BAA before go-live.

  1. 01Free missed-call auditWe test your phone coverage and review the call information you can share, including after-hours intake, applicant calls and call-outs. We send a written audit report within 3 business days of the audit call, with our assumptions shown.
  2. 02Build and testWe write scripts for each caller type, agree urgent handoffs, check your requested languages, connect your systems where possible and test the call and alert arrangements. You approve the questions and rules, and we sign the BAA before go-live.
  3. 03Gradual launchWe start with overflow and after-hours calls while your team keeps answering first. We collect your approved intake details, pass applicant answers to HR and send shift call-out alerts to your scheduler.
  4. 04Review and improveWe review results with you weekly for the first 4 weeks, then monthly. We update scripts and handoff rules as your service areas, intake needs or hiring questions change.
  5. 05After launch: we stay with youWe check call logs daily during the first weeks, then every 2–3 days once things are running smoothly. We handle fixes and change requests within one business day. Omair Iqbal, our founder, is your named contact; tell him when your hours, staff or services change and we update the arrangements. We work month-to-month after setup.

Works alongside your systems

We connect to the CRM, scheduling or applicant tools you already use where possible. Otherwise, we send structured summaries by email or text through channels agreed under your privacy arrangements. We confirm what each connection supports and test it; we do not assume a partnership or integration with any particular home care software vendor.

Our done-for-you AI receptionist service explains the call coverage, and how it works covers the rollout and ongoing support. We shape the AI receptionist for home care around your intake and staffing processes, not the other way around.

Once your calls are covered, we can discuss back-office automation for caregiver timesheet and admin workflows as a later step. Your team keeps review and approval of submissions and any decisions.

Straight answers

Frequently asked questions

Can an AI receptionist take home care intake calls after hours?

Yes. We answer calls 24/7 through our done-for-you service and collect the contact, location, help needed, payer and urgency details your coordinators approve. We send your team a structured summary and route urgent matters through your agreed on-call process.

Can it screen caregiver applicants for a home care agency?

Yes. We ask your approved questions about certification, availability, service areas and languages, then pass a structured applicant list to HR. Your team makes hiring decisions.

What happens when a caregiver calls out of a shift at night?

We log the caregiver’s name, the client, the shift and the reason, then immediately alert your scheduler through the route you approve. Your team arranges cover; we do not decide who works the shift or promise a replacement.

Does a home care agency need a BAA with its AI receptionist provider?

Yes, if your agency is a HIPAA covered entity and we handle protected health information on your behalf; an agency billing Medicaid may fall into this category. We sign a BAA before go-live and use vendors that offer BAAs.

Can callers speak to a person instead?

Yes. Callers can ask for a person, and we follow the transfer and on-call rules you approve. If a staff member is unavailable, we follow your agreed callback process rather than pretend someone is on the line.

Will it tell families whether they qualify for Medicaid home care?

No. We collect the information your coordinators request without making eligibility decisions or authorisation promises. Your nurses and coordinators assess the request and explain the next steps to the family.
